Building a strong collections process is essential for maintaining healthy cash flow, minimizing bad debts and ensuring financial stability.
At Acro Commerce, we prefer to maintain simplicity in our billing process by providing straightforward and concise invoices that clearly outline our payment terms and offering easy-to-use payment options. While we often receive payments in a timely manner, the reality is that not every invoice gets settled without a hitch. That’s where our structured approach to collections comes into play.
When an invoice lingers unpaid past its due date, our administration team will attempt to reach out to the client. We start with an email and, if needed, a follow-up phone call. Often, the delay stems from human error, such as an oversight, forgetfulness or a missed email. Bringing this to the client’s attention typically results in swift payment. At this point, if the client has any concerns about the invoice, we can address those concerns and provide any clarification that is needed to resolve the matter.
In cases where a client remains unresponsive, the administration team will enlist the help of one of our project or account managers. These key individuals maintain regular contact with the client and develop a close affiliation with them. This relationship often allows them to quickly and efficiently resolve any issues with outstanding payments. If we continue to encounter difficulties in resolving the issue, this would be the time to consider further measures, such as suspending work on the project until we receive payment.
By maintaining a proactive and systematic approach to our collections process, we secure our financial stability and foster stronger relationships with our clients. Timely payments ensure a smooth and uninterrupted flow of operations, contributing to our business's overall success and stability.
